WE ARE EXPLORERS INNOVATION CONTEST
TERMS AND CONDITIONS
The Syensqo Group, (hereinafter referred to as “the Organiser”), is organizing a free competition, named “We Are Explorers Innovation Contest” (hereinafter referred to as “the Contest”) under the terms and conditions below.
ARTICLE 1 - ENTRY PERIOD
The contest will happen in a specific period (hereinafter referred to as “The Period”) to be announced on Syensqo internal communications channels (email, intranet, Google Spaces posts, Digital Signage and/or other media available for all Syensqo employees), so all employees can be aware of the entry period and can submit their participation to the Contest.
Entries submitted before or after each Period announced will not be eligible for entry into the Contest.
ARTICLE 2 - ELIGIBILITY
The Contest is open to all Syensqo employees worldwide who are aged 18 or over and employed by Syensqo during the Period, (hereinafter referred to as either the “Participant” or “You”).
The members of the jury, externals, contractors, and Syensqo Executive Leadership team can participate, but cannot be declared as winners.
Participants have no limit of entries (hereinafter referred to as “Submissions”) and can be the author or a co-author of each Submission.
The Organiser reserves the right to disqualify any entrant (at our sole discretion) if we have grounds to believe the entrant has breached any of the rules and/or committed any type of fraud attempt.
In order to participate in the Contest, You must follow the instructions on Article 3, provide the requested data, agree with these Terms & Conditions and with the Privacy Notice related to the “We Are Explorers” employee engagement campaign.
ARTICLE 3 - CONDITIONS
You can participate, during the Submission period, in the Contest, submitting initiatives, which can be a project, an idea, or an activity that You are participating in or leading at the company, alone or in a team, showcasing how You are innovating within your area of expertise. The initiative can be something simple or complex, already in place or a plan. You can decide to participate only during the voting period, when all Submissions will be available for voting.
3.1 - Participating with SUBMISSIONS:
In order to participate with Submissions, You must follow the steps below:
1. Access the information about the Contest on Syensqo internal communication channels (email, intranet, Google Spaces posts, Digital Signage and/or other media available for all Syensqo employees);
2. Access the website explorerscontest.com (hereinafter referred to as “The Platform)”;
3. Read this Terms and Conditions document and the Privacy Notice. If you decide to participate, it means that you have read and agreed with them;
4. Create your account in the Platform (Sing up) with your employee ID/Number, complete name, your personal or professional email address and defining a password. The employee ID will be used to validate that you are a Syensqo employee;
5. Read the FAQs (Frequently Asked Questions) in case you have any questions about the process;
6. (Optional) Prepare the Submission of your initiative (e.g., projects, activities, ideas) using one of the templates provided by the Communication team. Notice: The template helps you structure your initiative’s information. However, for your submission to be valid, it must be submitted through the platform. Simply filling in the template is not sufficient;
7. Enter the Platform (Log in) using the email address You provided and the password You defined;
8. Follow the steps and instructions within the Platform to submit your initiative, including selecting 1 (one) of the 4 (four) categories available. There will be no limits for how many initiatives You can submit;
9. Define if You will be submitting alone or with a team. For a team, You can invite from 1 (one) to 4 (four) colleagues. In the team, You will be the author, and the other members will be co-authors. The maximum number of members per team is 5 (five), 1 (one) author and up to 4 (co-authors). You need to confirm that all the members of your team are registered in the Platform and that they are aware of the content you will be submitting in your initiative;
10. Confirm and agree that no confidential information will be shared, and the Submission does not contain: brands, production methods, formulas, plans, blueprints, and any media files. Descriptions must contain just an overview of the initiative.
3.2 - Participating with VOTES:
Participants can decide to skip the Submission period, and only participate in the Contest voting for their preferred initiatives submitted by other employees. In order to vote, you must follow the steps below:
1. Access the website explorerscontest.com (hereinafter referred to as “The Platform)”;
2. Read this Terms and Conditions and the Privacy Notice. If you decide to participate, it means that you have read and agreed with them;
3. Create your account in the Platform (Sing up) with your employee ID/Number, complete name, your personal or professional email address and defining a password. The employee ID will be used to validate that you are a Syensqo employee;
4. Read the FAQs (Frequently Asked Questions) in case you have any questions about the process;
5. Enter the Platform (Log in) using the email address You provided and the password You defined;
6. Browse the initiatives and choose your preferred ones. There is a button for You to click if You want to vote for the initiative. There are no limits on how many initiatives You can vote for, but You can only vote once for each initiative. You will be voting only based on a brief description of the initiative;
7. The number of votes each initiative received will be hidden during the voting period, only disclosed at the end of the Contest.
3.3 - RESULTS:
1. The winners will be selected in two phases. In the first phase, the top 3 (three) most voted initiatives, in each of the 4 (four) categories, will be declared winners, totalizing 12 winning initiatives. In the second phase, the Top 1 (one) winner of each category will be invited to prepare a slide deck (or using another media, to be defined) to be submitted internally to the Syensqo Executive Leadership Team (outside the Platform), who will then select the Top Project among all;
2. As the main author of a Submission, You can win only once. As the co-author of a Submission, You can win more than 1 (one) time;
3. The results of phase 1 (one) and phase 2 (two) will be released on a date yet to be determined and will be communicated on Syensqo internal communication channels. The winners will receive an email with instructions and relevant information;
4. By participating in the Contest, the winners agree to share their experience with the Communications team, by sharing pictures, videos, and feedback (whatever is relevant) about the Contest, to be later shared internally with all Syensqo employees and, upon agreement, on Syensqo Social Media Platforms.
ARTICLE 4 - DATA PROTECTION
The Organizer shall collect, process and use the personal data (i.e, name, surname, employee identification number, personal and/or corporate email address) - hereinafter referred to as “the Data") provided by the Participant or gathered, directly or indirectly, in connection with the Contest, in accordance with the applicable Data Protection regulations, in the applicable jurisdiction, on the protection of personal data.
The Participant consents to being contacted by the Organizer in accordance with the applicable Data Protection regulations of the relevant jurisdiction.
The Participant hereby acknowledges that he has read the Privacy Notice with respect to the usage of its Data in compliance with the Data protection regulations and that accepting these terms and conditions declare that You are aware of the purpose and use that will be made of your data.
ARTICLE 5 – AWARD OF PRIZES
The 3 (three) most voted initiatives of each category in phase 1 (one), voted by employees registered in the Platform, respecting the Conditions of Article 3, will be declared winners. There will be 12 (twelve) initiatives declared winners, with the number of winning Participants depending on the number of team members in each initiative. The Top 1 (one) initiative, from each of the 4 (four) categories, will be submitted to the Executive Leadership Team, who will define the Top Winning Initiative, to be declared the winner among all initiatives submitted in the Platform.
Only those Syensqo employees who are aged 18 or over and employed by Syensqo during the Period, as mentioned in Article 2, are eligible to enter the Contest. The members of the jury, externals, contractors, and Syensqo Executive team can participate, but cannot be declared as winners.
This Contest is part of the broader We Are Explorers Campaign, which started with the Explorers in Action Contest in 2024. If you have already won any Contest organized by Corporate Communications in 2024, you cannot be declared a winner in this Contest, as the main author of an initiative. However, you are still eligible to win this Contest as a co-author.
ARTICLE 6 - PRIZES
The prize, for this Contest, is as described below:
Phase 1 (one) winners: the authors (and co-authors) of the Top 3 (three) most voted initiatives of each category will be:
Certified as a “TOP Explorer”;
Celebrated in our internal and external channels;
Rewarded with a Gift Card (value to be announced).
Phase 2 (two) winners: the authors (and co-authors) of the Top Winning Initiative will be:
Certified as a “THE TOP of the Top Explorers” with special highlight;
Celebrated in our internal and external channels;
Receive a Special Recognition (to be announced soon, no monetary value).
All winners from Phase 1 (one) and 2 (two) will be promoted on Syensqo internal communication channels to all employees and, upon agreement, on all external Syensqo Social Media channels.
Hereinafter referred to as the “Prize”.
The Prize is not transferable, nor exchangeable against another prize or against their financial value.
The Prize may need to be adapted according to the region where they will be purchased.
The Organiser reserves the right to replace the Prize completely or partly by other prizes of equivalent value.
Up to 30 days after the end of the Period, the winning Participants will receive an email notifying them of the result of the Contest. The winning Participants should confirm receipt of such notification and contact the Organiser with an email address for the delivery of the Prize.
The Prize will be delivered to your email address within a maximum period of 3 (three) months following expiry of the Period.
The name of the winner may be obtained on The Hub or on Syensqo internal communication channels (The Hub, Google Spaces, Digital Signage), where all results of the competition will be revealed.
ARTICLE 7 - RELEASE AND LIMITATIONS OF LIABILITY
By entering the Contest, the Participant agrees to release and hold harmless the Organiser from and against any claim or cause of action arising out of participation in the Contest, receipt, or use of any Prize, or injury or damage to persons or property.
The Organiser reserves the right to shorten, extend, modify or cancel the Contest in the case of an event that would render it impossible to continue the Contest in accordance with the provisions of the present terms and conditions. In the case of a malfunction of the internet or of any other problem related to the telecommunications networks, or computers online, of servers, of internet providers, of computer equipment or software, without any responsibility being engaged in this regard and without any compensation whatsoever being claimed by the Participants.
The Organiser expressly reminds Participants that the internet is not a secure network.
The Organiser shall not be liable for contamination by any viruses or intrusion by a third party into the terminal system of a Participant or any smartphone/tablet used for entry into the Contest and declines all responsibility for the consequences of Participants' connection to the network via the Platform.
The Organiser declines all responsibility in the event of any malfunctioning of the Platform, in particular due to malicious acts from third parties, which may prevent a Participant from joining the Contest.
The Organiser shall not be liable for the consequences of Participants' connection to the network or for access via the wireless application protocol. The Organiser shall not be liable for any costs incurred by the Participants in connection with their participation in the Contest, including, but not limited to, roaming charges or bandwidth expenses, which shall be borne solely by the Participants. In the event that Participants utilize a Syensqo mobile device to connect, they shall take all necessary measures to minimize such costs, including the use of a secure Wi-Fi hotspot, to the fullest extent possible.
The Organiser shall not be held liable if Participants are unable to connect to the Platform or enter the Contest due to any problem or technical fault linked in particular to network congestion.
The Organiser shall not be held liable for any incidents which may occur due to a Participant's use of a Prize.
The Organiser shall not be held liable for any theft or loss that might occur during delivery of the Prize.
ARTICLE 8 - QUESTIONS

ARTICLE 9 - APPLICABLE LAW
These terms and conditions, and any issues or disputes which may arise out of or in connection with these terms and conditions, shall be construed and interpreted in all respects in accordance with the laws of Belgium. The Participant submits to the exclusive jurisdiction of the French-speaking courts of Brussels, Belgium to settle any such dispute or issues.
All the practical difficulties of the application or of the interpretation of these terms and conditions will be settled finally by the Organiser.
By entering the Contest, all Participants will be deemed to have accepted and be bound by these terms and conditions, the Information Notice and Consent and the Privacy Notice. The Organiser reserves the right to refuse entry, or refuse to award a Prize to anyone in breach of these terms and conditions.

INFORMATION NOTICE AND CONSENT
Syensqo SA (“We” or “Our” or “Syensqo”) is committed to comply with the Personal Data Protection Legislations that apply to its data subjects and complies with the transparency obligations on how your personal data are collected, processed and stored according to a defined purpose.
Please take the time to carefully read this Information notice.
We inform you that We will collect your personal data: name, country, site, GBU, function, department, and/or other data, if needed, (“Your Personal Data”) to ensure that within the context of the Syensqo - We are explorers contest (“Contest”), We will be able to administer the Contest and deliver prizes to the winner of such Contest (“Purpose”).
Syensqo, with registered address at Syensqo SA, 98 Rue de la Fusée, 1130 Brussels, Belgium, is a controller of Your Personal Data and processes Your Personal Data based on your consent.
Your Personal Data may be accessed and processed solely on a need to know basis to enable us to pursue the Purpose by i) the relevant personnel of our organization, ii) by our solution provider and partner for the Contest. Our employees and third parties having access to Your Personal Data are required to comply with written instructions, to apply a duty of confidentiality and to implement appropriate technical and organizational measures to secure data.
Syensqo takes the security of Your Personal Data very seriously. We have implemented adequate technical and organizational measures to ensure that Your Personal Data is not lost, accidentally destroyed, misused or disclosed, and is not accessed by unauthorized individuals. Please read our Privacy Notice for more details on the protection of Your Personal Data.
Your Personal Data is stored as long as necessary for the Purpose, but no longer than twelve months after the end of the Contest, to allow the delivery of prizes for the winners, whichever is the longest.
As data subject, you have the following rights as they are identified by the applicable law: i) access and obtain a copy of Your Personal Data on request; ii) require that We rectify Your inaccurate or incomplete Personal Data; iii) require that We erase or stop processing Your Personal Data (e.g. where Your Personal Data is no longer necessary for the Purpose); iv) require the restriction of Your Personal Data processing; v) request that Your Personal Data you have provided to us be returned to you or transferred to someone else in a structured, commonly used and machine-readable format. The latter right must be exercised in compliance with your confidentiality duties; or vi) withdraw your consent where we relied on the latter to process Your Personal Data (without this withdrawal affecting the lawfulness of processing prior to the withdrawal).

In addition, you also have the right - if you believe that we have not complied with your data protection rights - to lodge a complaint with the supervisory authority of the country or region of your usual place of residence, your place of work or the place of the alleged infringement.
By accepting to participate in the Contest on a voluntary basis and providing your data on the "We Are Explorers Innovation Contest Platform", you acknowledge that you have fully understood and agreed the content of this Information Notice and you give your consent to Syensqo and a third party necessarily engaged by Syensqo for the Contest to collect, process and store your Personal Data for the Purpose as defined hereunder.
